Getting Started
How do I create an account?
Go to gigbookerai.com/signup. During closed beta, you'll need an invite code from your band admin. If you received an invite link via email, just click it — no code needed, your info will be pre-filled.
What's the difference between all the user roles?
You have one account that can fill multiple roles. Band Admin — you created the band and manage everything. Band Member — you were invited to a band, you see your calendar and earnings. Sub Musician — you fill in when members can't make a gig. Venue — you manage a venue and book bands. Booking Agent — you manage multiple bands' bookings. Your dashboard automatically shows the right view based on your roles.
Can I be in multiple bands?
Yes! Your account works across all bands. If you're invited to a second band, it appears in your band selector. Select "All Bands" to see a unified calendar with every gig across all your bands.
Is GigBookerAI free?
Band members, sub musicians, and basic venue accounts are always free. Only the band admin pays — plans start at $9/mo after a free trial. During beta, everything is free for everyone.
Band Management
How do I add members to my band?
Go to Band Settings (gear icon) > Members tab > + Add Member. Enter their name, email, and instrument. They'll receive an invite email with a link to create their account and automatically join your band.
How do I book a gig?
Click + Add Gig on the dashboard. Choose a status — "Contacted" for venues you're reaching out to, or "Booked" for confirmed gigs. Fill in the venue, date, times, and payment. The gig appears on your calendar and your members are notified when it's booked.
What do the pipeline stages mean?
Contacted — initial outreach sent. Follow-up Sent — you followed up. Quoted — you sent a price. Contract Sent — contract sent for signature. Booked — confirmed and on the calendar. Completed — the gig happened. Cancelled — the gig was called off.
What is the EPK page?
EPK stands for Electronic Press Kit. It's a public page for your band with your bio, photos, promo video, set lists, member profiles, availability calendar, and stats. Venues and fans can see it. Enable it in Band Settings > EPK / Profile by turning on "Public".
How do set lists work?
Go to Band Settings > Set Lists. Create a set, then add songs with title, artist, key, and tempo. You can drag to reorder. Members and subs see set lists for their upcoming gigs. You can also print set lists formatted for a music stand.
Members & Calendar
How do I see my gig schedule?
Your Member Dashboard shows a calendar with all upcoming gigs from every band you're in. Gigs appear once they reach "Quoted" status or later. Use the band selector to view one band or "All Bands" for your full schedule.
How do I request time off?
Go to the Time Off tab on your member dashboard. Select dates and a reason. Your band admin is notified automatically and can arrange a sub if needed.
How do I see what I've earned?
Go to the My Earnings tab. You'll see this month's earnings, YTD total, and a gig-by-gig breakdown. You can download a CSV or annual tax summary for your records.
Venues
Do I need an account to sign a contract?
No. When a band sends you a contract, you receive an email with a signing link. Click it, review the contract, and sign — no login required. You can optionally create a free account later to track your booking history.
How do I find bands for my venue?
On your Venue Dashboard, go to Discover Bands. Browse bands sorted by rating, shows played, or attendance. Click "Request This Band" to send a booking request with your preferred date and budget.
What are Open Dates?
In the My Shows tab, click "Post Open Date" to announce that you need a band for a specific date. Include your budget and genre preference. Bands on the platform can see your open dates and reach out.
Contracts
How does e-signature work?
When you send a contract, the admin signs first (draw, type, or upload signature). Then the venue receives an email with a signing link. They can sign on their phone or computer — draw with their finger, type their name, or upload a signature image. Both parties get a copy.
Are the contracts legally binding?
Electronic signatures created through GigBookerAI are intended to be legally binding under the ESIGN Act. However, we are a platform — not a law firm. For high-value gigs or complex terms, we recommend consulting a legal professional.
Payments & Splits
How do payment splits work?
The band admin sets each member's payment method in Band Settings. Options: Even Split (pool divided equally), Fixed (flat rate per gig), Percentage (% of the member pool), or Base + Percentage (guaranteed base + bonus %). The payment breakdown shows in real-time when booking a gig.
What gets deducted before members are paid?
From the gross payment: Agent commission (if applicable) is deducted first, then the Band Operating Fund percentage. What's left is the Member Pool — that's what gets split among members based on their payment method.
Does GigBookerAI process actual payments?
Not yet. Currently, GigBookerAI calculates what each person is owed. Actual payments happen between you and your members outside the app (Venmo, Zelle, check, cash, etc.). Payment processing is on our roadmap.
Subs & Community
How do I find a substitute musician?
Go to the Subs page. You can add subs to your roster manually, or check the Community Board where musicians post their availability. When you need a sub for a gig, assign them and they'll get an email with all the gig details.
I'm a sub — how do I get found by bands?
Create a sub account and fill out your profile — instruments, city, bio, and social links. Post your availability on the Community Board. When a band needs your instrument in your area, you'll show up in their search.
